Traffenstedt, Administrative ervices Director BY: Maureen Benson, Deputy City Clerk DATE: April 14, 2005 (CC Meeting of 04/20/05) SUBJECT: Consider Authorizing Use of City Portable Lights for American Cancer Society's "Relay for Life 2005" Scheduled for April 30 and May 1, at Moorpark College Stadium BACKGROUND AND DISCUSSION The Simi Valley /Moorpark Unit of the the Relay for Life Planning Committee dated April 6, 2005 (attached) the use light standards. The City Council has of these lights for the Moorpark Reenactment Event. American Cancer Society and have requested in a letter of the City's new, portable previously approved the use Rotary Club's Civil War Staff supports approval of the request, subject to standard insurance and waiver of liability requirements for use of the portable lights. STAFF RECOMMENDATION Approve use of City portable lights, waiver of liability requirements. Relay for Life 2005 will take place April 30 and May 1, and once again, it will be our privilege to hold it in the Moorpark College stadium, a venue without equal in the Tri- County region. Last year, our sponsors, teams and volunteers collectively raised $229,000, an amount significant enough to include Moorpark in the American Cancer Society's list of top per capita giving communities in the country. More than 1,500 people spent all or part of the day at our event, surely making Relay For Life Moorpark's largest and most inclusive annual community event/fundraiser. As a committee we are committed to making all of this year's numbers even better. We are requesting loan of 2 of the city's new, portable light standards. We would pick them up on Friday, April 29 and return them as soon as possible after we close May 1. If you need us to keep them until Monday, we will store them in a secured site on the college campus. While in our care, they would be the responsibility of Debbie Heaslip, the college's Events Coordinator and our Co- Chair. The American Cancer Society carries insurance, and can provide proof of coverage should you require it. Thank you for your attention to this matter.
