CITY OF MOORPARK MOORPARK LIBRARY BOARD AGENDA REPORT TO: Moorpark Library Board FROM: Jennifer Mellon, Administrative Services Manager. Jo Rolfe, City Librarian, Library Systems & Services, LLC DATE: December 30, 2014 (Meeting of 1/13/15) SUBJECT: Consider the Moorpark City Library Quarterly Report for the Second Quarter of Fiscal Year 2014-15 (October— December 2014) DISCUSSION Moorpark Friends of the Library (MFOTL): met three times during the reporting period. • October 1 meeting: Following formal approval of the minutes of the prior meeting the group received and accepted the Treasurer's report. The City Librarian gave a summary report on expenses, programing, Inland Library Network updates, and the Bookletters launch. Further meeting dates were determined for the second annual Live Comedy at the Funeral home fundraising committee. The event took place on October 26, 2014. Tickets were sold at various outlets on behalf of the MFOTL non- profit organization and proceeds benefit Moorpark City Library programs. • October 29 meeting: the MFOTL board met to identify and allocate tasks and duties conducted by the outgoing Treasurer who has resigned from the position. • November 19 meeting: Minutes were approved from the prior meeting and a treasury report was given. The City Librarian gave a brief presentation entitled, A day made of glass and the future of libraries. This was a summary of a presentation given by Lee Rainee at the Internet Librarian's conference in October. A further summary was written up at the Friends request for inclusion in the December MFOTL newsletter. New Library Service — Bookletters: There is a new addition to the Library homepage moorparklibary.org. There are now rotating book cover art segments just under the main image. The images show new items and the most exciting feature is that if you click on them it takes you to a page that looks like our website with the featured listings. Scroll down to the item of interest and click on "Check our catalog" link and you are taken directly to the catalog entry where patrons can see the item status and place holds. 1 Library Board January 13, 2015 Regular Meeting Page 2 Although it looks simple, easy and professional this is all made possible through a proprietary application with quite complex software algorithms to which Moorpark City Library now subscribes. We went live with the launch on October 1, 2014 following a staff training webinar presented by the vendors. The software is called Bookletters and the company that administrates it is Booksite. New features of application will become available as we get used to building lists. Other website postings and enhancements include updated getting started guides for downloading eBooks and the new Book club for adults listings through April 2015. Inland Library Network (ILN) Update: After four full months of service, the Inland Library Network cooperative lending is going well with deliveries happening Monday through Friday each week. Over the past month some modifications have been made regarding lending. Some libraries within the ILN have shorter loan periods and more renewals than Moorpark so staff has been manually changing the checkout period to the three week loan period of Moorpark when this occurs. This could cause errors if staff do not notice the shorter loan periods and do not make the correction. Also, there was a system setting that has been adjusted with regards to media. Our Moorpark policy limits checkout of books on CD or DVDs to five items at a time. The Polaris Integrated Library System was not picking this up when books on CD or DVDs were ordered from other libraries if the items had a different catalog code. This catalog setting has been adjusted so that now a patron account is blocked once the limits of media items that can be checked out simultaneously have been reached. The collaboration has involved a marked increase in Circulation staff activities with the number of holds doubling since joining the network. Staff will continue to find creative ways to promote this program. LSSI Contract Staff Development: • Jo Rolfe, City Librarian: Attended the Internet Librarian Conference in Monterey October 26— 30. • Cindy Holsey, Young Adult Librarian: Participated in webinars in October entitled 3D Printers: Strategies for Makerspace Success and Marketing and Social Media: A Primer for Public Libraries. Took the InfoPeople 4-week Online Course: E-readers: Practical Help for Patrons, October 21-November 17. • Meg Thackoorie, Youth Services Librarian: Attended the Association of Library Service to Children (ALSA) Conference September 17-20. Participated in webinars in October entitled: Let's Read! New Books for the Newest Readers and The Scoop on Series Non-Fiction: More New Titles for Fall 2014. Holidays: The Library was closed for Veterans' Day on November 11 and for Thanksgiving on November 27. It was also closed on December 25 for Christmas Day, and January 1, 2015. Storytimes: Little Bilingual Readers continues with strong regular attendance. Mrs. T and Karina from First 5 sing, interact with, and read stories to children in both English 2 Library Board January 13, 2015 Regular Meeting Page 3 and Spanish. Family Storytime and Pre-School Learning time also brings good attendance as young children practice pre-reading skills. PJ Storytime is also offered for those who cannot make the morning storytime events and has smaller attendance each week. All storytime events in November focused on the value of `Raising a Reader" with free handouts and books. Mayor Janice Parvin and Deputy Yates added to the importance of family reading as guest readers. Families enjoyed visiting the patrol car, sifting in it, working the horn, siren and lights for photo opportunities. Insect Mania: This special program was offered on October 21 with 20 in attendance. Dr. Kent Christensen presented a slide show and 4 boxed collections of butterflies and insects from California and the tropics. He commented on the fact he started collecting at age 8 and is curiosity lead him to plan trips to collect specimens. Collecting became a lifelong hobby and he traveled to foreign countries with fellow scientists. Children and parents were fascinated with the multicolored and phosphorescent characteristics of the butterfly's wings but were not as excited about the large beetles and spiders. Everyone went away with new knowledge and appreciation of these small living things. Early Literacy Celebrations: November is Early Literacy Month and Rebecca Strawberry was the highlighted performer on November 25 with 31 in attendance. Rebecca sang her original songs for kids to listen to about being a kid and having a difficult day. She brought music and play props for the audience to beat to the rhythm of certain songs. Adults commented on the positive relevance of the tunes as it related to their family experiences. Holiday PJ Party: On December 5 another attendance record was set with 315 people gathering in the library for the Holiday PJ Party. Local student musicians were on hand, visitors sang carols, our very own special Santa listened to children who received a gift bag and a raffle ticket. Attendees were also invited to decorate cookies and make holiday crafts. All enjoyed themselves with hot chocolate or juice, decorated the tree, and listened to a reading of The Night Before Christmas by the City Librarian. Teen Book Club: Four tweens had a lively, interesting discussion about Schooled by Gordon Korman in October. The tweens made a lot of personal connections to the story. Two tweens discussed Coraline in November, and three tweens attended the December book club to discuss Dealing with Dragons. As always, participants made several connections between the story and real life, including the expectations of girls versus boys in American culture. They also made enthusiastic recommendations for future book club selections. The book for February will be Fablehaven by Brandon Mull. Teen Read Week Books to Movies Festival: Monday, October 13 - Thursday, October 16, at 4 p.m. the Library showed four movies on the four consecutive days based on popular YA books or comics: Divergent, The Hunger Games: Catching Fire, Warm Bodies, and Captain America: The Winter Soldier. The festival was reasonably well attended, with the highest attendance of 7 teens on the first day, for Divergent. The YA Librarian began each showing by discussing the purpose of Teen Read Week and 3 Library Board January 13, 2015 Regular Meeting Page 4 the festival. Attendees were enthusiastic about the movies and reading in general; at the end of Divergent, they even. applauded. Of course, they also enjoyed the free popcorn. Road Scholar Presentation: On Monday, October 13, at 6 pm Road Scholar John Callahan from nearby Santa Paula engaged the 5 attendees speaking about his passion for seeing the world. Among his avocations, he lists travel, reading, and writing. He has been working as a Group Leader with Road Scholar since May 2008. He shared with attendees the wide range of educational adventures offered by Road Scholar, the leader in lifelong learning since 1975. Teen Makersspace — Book Spine Poetry: Four tweens and one teen had a great time finding and arranging book titles to create unique poems. The event started out with snacks and the YA Librarian explaining the task and sharing some tips. Then participants scanned the library shelves and used the catalog to find titles. Three of the four participants created one to three poems each; the fourth created eight. All then shared the poems they had created. The YA Librarian took photos of the poems as well as the participants with their favorite poems to share on the library's Facebook page. Author Panel: On Wednesday, November 5, the City Librarian chaired a panel of four published local authors and gave an overview of three questions they were asked to discuss: 1) What inspired your work(s)? 2) What is your process? and 3) What is your advice for writers and self-publishing? Authors Ryan M. Blanck, Sally Carpenter, and Randall Pugh engaged the 14 attendees with their discussion and tips on how to self- publish, their ways to get over writers block, and other specifics on how to get your material published. Introduction to 3D Printing: On Sunday, November 16 at 2 p.m. twelve teens got a first-hand look at the process of 3D modeling and printing thanks to web developer and library patron Ben Fox. Ben started the workshop by providing a basic overview of 3D printing, including the software used and types of printers. He then began printing a basic piece as participants watched. Everyone was mesmerized as they watched the printer's platform "dance" around and create an almost musical sound. Participants were also impressed with the samples Ben brought. Next, Ben demonstrated the process of modeling in Google SketchUp, and one participant followed along on his own laptop, playing with the software's features and creating his own models. Other participants worked together as a team on models. Although the number of participants was less than anticipated, the program was a hit for those who attended. Teen Tuesday Makerspace — Thanksgiving Craft: On Tuesday, November 25, six tweens got in the Thanksgiving spirit by making decorative place cards for their families' Thanksgiving tables. They enjoyed creating the place cards while listening to music and talking about their favorite musical artists, songs, and plans for the holiday. 4 Library Board January 13, 2015 Regular Meeting Page 5 Book Club for Adults: In October, eight participants discussed Vanishing Point by Marcia Muller. In November, eleven met at the library to discuss The Life List by Olivia Gentile and while always varied and interesting, the discussion was noted by a patron to have become a little personal from some attendees who expressed their individual life lists. The patron stated that she would prefer participants to keep topics more closely aligned with the writing than with their own life. This suggestion met with lively debate and a conclusion that each discussion is as diverse as each book and although there are questions guiding the discussion there is a loose structure to each meeting. In December nine gathered to discuss In The Woods by Tana French which is a gruesome murder mystery that, as one patron put it, "did not have a nice tidy bow at the end". Everyone in attendance agreed that the writing was excellent for a first book. Some found it too graphic in places where the crime was described, but they agreed it was a good choice for lively, detailed discussion. This group is becoming cohesive as people get to know each other more. Titles were selected through June 2015 so they will be ready and processed in plenty of time for each meeting. Quarterly Report Observations and Conclusion: This quarter saw additional modifications to the Inland Library Network in order to make the collaborative seamless. Also, the addition of Bookletters and some other database trials will enhance the patron experience at our Library. There were 130 events during the quarter with the Holiday PJ Party bringing in the most attendance for a Library event in the 8 years the library has been run by the City. The Library programming is definitely a strength, and LSSI librarian's continue to enhance programming and research what works at our Library. A weakness is community outreach and the City Librarian is focusing her attention on making more of an impact with outreach in 2015 by finding new, exciting ways to reach different demographics within our community. Projects on the horizon include a parking lot reconfiguration and relocation of the outdoor book/media depositories plus some new furniture purchases and electrical work this Fiscal Year. Board Member Landry inquired about the process for addressing user- experience issues with the new system and how hold queues are addressed. Ms. Rolfe responded that every interaction is unique and we go through the transaction history and patron record history to resolve issues. Ms. Rolfe stated that staff is trained to advise patrons that we cannot guarantee when the hold is going to be available until the item is in our hands. Since joining the Inland Library Network we have had a good record and are getting the items into the patron's hands within five to seven days of the items being available. Board Member Landry inquired about the patron count metric. Ms. Mellon responded that that the patron counts is a physical traffic counter of patrons entering and exiting the Library front door. Board Member Sunseri inquired if Moorpark patrons have priority to hold items. Ms. Rolfe responded that items belonging to Moorpark City Library are always made available first to the Moorpark Library patrons. There were no speakers. Moorpark Friends of the Library President's Report for October, November, December, 2014 For Moorpark Library Board Meeting of January 13, 2015 Y Board leadership is changing for the Moorpark Friends of the Library: o Arianne who filled treasurer and book sale coordinator roles left the board at the end of December. o Tentative plans are to have Mike Fenerin fill Arianne's book sale coordinator duties and continue as president; have Dona Pugh fill Arianne's treasurer duties; and have Rosalie Barili take over as secretary for Dona. o The above is a stop-gap move; we would ideally like to find replacements other than current board members for those positions. A search was launched in December among the current and selected past members of the Friends board, but results to date have proved fruitless. Overall, operations are running smoothly: o Membership is stable in the high 70s; premier memberships continue to increase. o Finances in excellent shape with over$50,000 in checking and savings. o Leadership stable with current officer team. o Newsletter going great with Rosalie in charge. o Strong core of book store and book sales volunteers. Y Special events over the past three months included the following: o Live comedy at the Funeral Home October 26. Very successful, generating a net of more than $1700. However, for planning purposes, after deducting donations to offset costs and tickets purchased as gifts for others, the"real" net would be about $1000. o Civil War Re-enactment book sale November 8-9: fair, generating about $500, which was less than last year's event, but still good for a one-day event. Upcoming events include the following: o No events planned for the first quarter except for a parking lot sale probably in March. i Open issue: Still searching for Social Media director. i Ideas being explored: o The board has reviewed investing a portion of Moorpark Friends of the Library funds in higher returning investments. Preliminary analysis provided by Mike Fenerin suggests a mix of index funds would provide a balance of higher return and acceptable risk. Decision to be discussed at the January board meeting. o Better ways of acknowledging our exceptional donors for their contributions. Major Friends priorities for 2015 will be the same as for 2014, but with the addition of finding replacements for the board positions discussed above: • Find new board members for Treasurer, Secretary and Book Sales Coordinator. • Build endowment and provide continuing level of donations for the library. • Strengthen volunteer base. • Improve book store sales, book sales, on-line sales, membership revenues,donations. 18
