Proposal Videomax has prepared a proposal which outlines the services to be performed (attached). It differs from our current agreement in that it encompasses all maintenance and operations of Channel 10. The proposal is comprehensive and includes all of the daily maintenance and operational requirements, as well as, the filming and playback of all Council and Commission meetings, plus any additional meeting lannualmcostcwouldebe $18,000a1 monthly cost would be $1,500. The Council established a separate department (Cable Services) for tracking the expenses related to this activity. The Channel has not been fully operational up to this point. Work has consisted primarily of filming and playback of the meetings and the hourly use of the technicians. Under the current contract, maintenance activities are limited to periods when the contractors are actually doing a playback or filming. During those periods they do not conduct the extensive maintenance required to keep the systems in good working order. Thus far this year through February, the City has incurred $1,420 in charges for technical services. The $18,000 proposed annual amount is well within the budgeted amount ($26,000) for this ongoing service. Actual costs for the remainder-of this year would be $6,000. The extensive use of Videomax personnel over the last several weeks has been necessary to coordinate our technicians with the installing contractors and to familiarize them with the equipment baseline adjustments. Paying for these services on an hourly rate could exceed the amount of this proposal. Staff is therefore requesting that the proposal be approved with an effective date of March 1st.
