SUBJECT: Acquisition of a Flat Files
OVERVIEW
This requests approval of the
storage of original maps and
Works, Parks and Facilities and
DISCUSSION
purchase of flat files for the
plans for Engineering, Public
Community Development purposes.
As part of the reorganization attendant to the change in City
Engineering services, it is necessary to move the original mylar
maps and plans from the Willdan offices in Ventura. This is an
opportunity to have some of the Engineering plans maintained at
City Hall rather at the offices of the new contract City
Engineer. In addition, plans currently rolled up for storage,
will be placed in flat file drawers for better maintenance and
retrieval.
The storage of the documents will require the purchase of flat
files with between forty (40) and sixty (60) one -inch and /or
two -inch deep drawers (36" x 4811). The anticipated purchase
price is approximately $5,000 (Not to Exceed $6,000). It is the
intent of staff to attempt to locate surplus files before any
new files are purchased.
The majority of these documents are original subdivision maps
and off -site improvement plans generated by the development
process. It is, therefore, recommended that the majority of the
cost for this acquisition be charged to the Community
Development Fund. The remainder of the documents are the

original plans for parks and street improvement projects. The
recommended cost allocation for this purchase is as follows:
O1 -- General Fund 10% $600
03 -- Gas Tax 20% $1,200
41 -- Community Development 70% $4,200
TOTAL $6,000
It is the recommendation of Staff that the City Council take the
following actions:
o approve the transfer of the amount shown above from the
General Fund Reserve, Gas Tax Fund Reserve and Community
Development Fund Reserve;
o iate $6,000 in the appropriate account(s) for the
acquisition of the subject flat files;
o authorize the City Manager to proceed with the acquisition
of said files in accordance with the City's purchasing
procedures; and,
o direct the Finance Department to allocate the final total
purchase price of the files as follows:
10% -- General Fund;
20% -- Gas Tax Fund; and
70% -- Community Development Fund.
