Staff has used the design services of Nova in developing a flexible work station configuration for the City full annex. The design services are at no charge in the event another order for furnishings is placed with Nova. If not, thf cost for design is $850. Additionally, Nova has provided four temporary work stations which were set up in the temporary annex this week. The transportation and set up charge for the temporary work areas was $480. There is no rental charge for these work a rE is 1988 Contract In 1988 Nova was selected based on the quality of Allsteel Systems and their agreement to offer G,,A. pricing to the City of Moorpark. This is a 52% discount of the list price of the product and an installation charge of 4% (Df' '.he list price. The same terms have been proposed for the purchase f matching Allsteel work areas and furnishings. These favorable terms could not be matched in 1988 by any other firm with the same quality work areas and furnishings. Now, Nova is the sole source distributer ofd the Allsteel products which are currently in City Hall. The typical work area includes built in electrical strip panels along the bottom of work area walls. At complete build out the temporary annex could accommodate two supervisors' offices two secretarial work areas, eight standard work areas, a small meeting room and have room for filing cabinets, a copier, central printer and a desk top publishing work station. An estimate of the final build out with accessories such as additional overhead storage, overhead storage lighting, tack boards, expanded work surfaces, and individual work area filing cabinets would bring the total cost for furnishing the temporary annex to approximately $70,000. The budget for FY 91/92 of $45,000 was estimated on providing basic work stations without accessories for approximately ten people. Staff is also proposing to have the map files which have already been purchased enclosed with a counter top and panel sides, then placed as a reception counter in front of the northeast door. This would not be part of the Nova ordei Recommendation Staff recommends continuing with Al steel Systems and matching the City Hall office system. Staff requests the City Council's approval of the conceptual design attached and authorization to proceed with the order of materials and their installation for the first phase of building ten work areas and a meeting room for the temporary annex. The cost for purchase of materials and their installation to be funded from line item 01.4.117.902 as budgeted in Fiscal Year 91/92 administrative services budget and shall. not exceed the budgeted amount of $45,000.
