C11'v OF MOORPARK,CALIFORNIA City Council Meeting MOORPARK CITY COUNCIL of li- "a0 i3 __ AGENDA REPORT DV: TO: Honorable City Council FROM: Dave Klotzle, City Engineer/ Public Works Director DATE: October 30, 2013 (CC Meeting of 11/06/13) SUBJECT: Consider Procurement of Maintenance Vehicles DISCUSSION The Public Works Department utilizes the two trucks described below to perform street maintenance supervision, construction inspection, crossing guard supervision and parking enforcement activities on a daily basis. Truck No. Description Mileage 27 2001 Ford Ranger Extra Cab 80,000 Public Works Superintendent/Inspector 30 2001 Ford Ranger Extra Cab 65,000 Crossing Guard Supervisor/Parking Enforcement Truck No. 27 is currently out of service and in need of a transmission repair at an estimated cost of $3,000. The Public Works Superintendent/Inspector is currently driving a spare truck. Truck No. 30 has required increased maintenance services due to its age and mileage. The current estimated value of each truck is $2,300. Staff proposes to replace both truck No. 27 and No. 30 with two 2014 Ford F-150, two- wheel drive extended cab trucks. The trucks can be purchased from Downtown Ford in Sacramento by piggy-backing on the State of California's current fleet vehicle purchasing contract at a price of $23,500 each including tax and delivery. Staff obtained price quotes for the trucks from Galpin Ford in North Hills, CA ($24,500) and Vista Ford in Oxnard ($30,200). A price quote was requested from Simi Valley Ford but that dealer did not have any vehicles in stock that matched the City's requirements. Staff proposes to surplus truck No. 27 at auction, and keep truck No. 30 in service as a spare vehicle to be used when the regular maintenance vehicles are being serviced. 357 Honorable City Council November 6, 2013 Page 2 FISCAL IMPACT There is $50,000 allocated in the adopted FY 2013/14 budget for Public Works vehicle replacement using the equipment replacement fund. This budgeted amount was originally intended to be used to purchase a maintenance truck to replace truck No. 66, an F-450 diesel truck, which was in need of an exhaust retrofit to be in compliance with California Air Resources Board requirements. The retrofit would cost more than the truck's value; therefore truck No. 66 was replaced with a new F-250 truck. On June 19, 2013, the City Council approved an amendment to the FY 2012/13 budget appropriating additional equipment replacement funds for the F-250 truck purchase prior to adoption of the FY 2013/14 budget. STAFF RECOMMENDATION Direct staff to purchase two (2), 2014 F-150 pickup trucks at an estimated cost of $47,000, using the $50,000 equipment replacement funds currently appropriated and available in the FY 2013/14 budget. 358
