Cff C of // Zf1 1991 ACTION:/ #4?2Y9" TO: Honorable City Council FROM: Richard Hare, Deputy City Manager4W/ DATE: November 15, 1991 SUBJECT: Consider Authorizing the Purchase of Work Stations for Two Senior Planners The city hall annex construction of work areas has been completed and staff members are being relocated to the new work areas. This provides the opportunity to reassign the offices in city hall. Two offices were partitioned off in the northeast corner of city hall last year, however, no funding was allocated to building work areas in the partitioned spaces. Surplus desks and files were used in the offices for the Public Works Director and the Management Analyst for Solid Waste Programs. These individuals are moving to their new annex work areas. This space in city hall is available to construct larger work areas for the senior planners. By moving the senior planners we will be able to accommodate the equipment for the optical disk system by combining the records clerk work area with the adjacent work area occupied by the administrative secretary for Administrative Services. This will shift personnel and require the swapping of the work areas of the recreation supervisor and the secretary for the Community Development Department. The Community Development Department secretary will then move next to the code enforcement officers and the account clerk will move across from the account technician and the finance officer. In addition, the Management Analyst for Administrative Services will be relocating to the annex. This work area will be modified to accomodate the copier currently located near the front counter. These shifts in personnel will require the dismantling of some of the work areas to reconfigure them to accommodate the individuals assigned. There is also a need to purchase the work surfaces, file drawers, overheads, wall mounts, supports, and adjustable brackets for the construction of the new senior planner work areas. All of the purchased furnishings and fixtures will be matched to the current city hall interior design. The total cost of this project has been estimated at $10, 000. Nova will honor the original bid terms and supply the necessary materials and labor with the same discount. Recommendation (Roll Call Vote Required) Authorize the purchase of work station materials and payment of labor for set up and reconfiguration of the planners ' work areas to Nova Business Furnishings per their original bid terms. Further, it is recommended that the City Council authorize the transfer of ten thousand dollars ($10, 000) for this purpose from the general fund reserve to the building improvements line item in the administrative services budget (01. 4 . 117 . 902) .
