Wall , City Clerk DATE: June 6, 1988 SUBJECT: Trade In of the Small Copy Machine In February of 1985, the City purchased a small copy machine (Canon NP-500) for use at City Hall from More Copy System. The original purchase price was less than $10,000, and the maintenance agreement has expired. This machine now needs to be rebuilt at an estimated cost in excess of $2,000, and has not been used for the last year. More Copy System will take this machine as a credit against the purchase of a new drum for the City' s larger copy machine, which is now scheduled to be rebuilt. The amount of credit which will be given is $500, even though the estimated worth of the machine is $375. Due to the high volume of copies made, the City purchased an additional copy machine (Canon 7550) in July of 1986. At that time, the City also purchased a maintenance agreement which would replace all interior components (exclusive of the drum) at 1 million copies at no cost to the City. We have now reached that number of copies. The drum for the new machine will cost $1,650, with all other parts and labor provided at no cost to the City. The drum has been ordered so it can be replaced at the same time the machine is rebuilt. Thought had been given to refurbishing the smaller machine too, and using it for small copy projects only or at the new Senior Center. However, it will cost in excess of $2,000 to rebuild and will still be worth only $375 even when fully operational . This machine is very slow and does not adequately meet the City' s copying needs, so staff is not recommending it be rebuilt. Staff is recommending that we trade in the smaller copy machine for a $500 credit towards the purchase price of the drum to completely rebuild our larger machine. This will , in essence, give us a new machine which has all of the special copying abilities the City needs at present (i .e. , enlarging, 799 Moorpark Avenue Moorpark, California 93021 (805) 529-6864 Honorable City Council June 6, 1988 Page Two reducing, and copying items from as small as 8 112" x 5 112" to as large as 11" x 17"). In addition, staff has completed a study of the City' s future copying needs, and will present this information during the budget process. However, it will be recommended that the City acquire another copy machine which can adequately handle the large volume of copying the City does. It is estimated such a machine will cost approximately $18,000, and will be the "work horse" the City needs. This machine, coupled with the our rebuilt larger copy machine, should more adequately meet our copying needs. STAFF RECOMMENDATION: Direct staff to trade in the small copy machine (Canon NP-500) for a $500 credit towards the purchase of a new drum for the larger copy machine (Canon 7550).
