Traffenstedt, City Clerk X57 DATE: February 25, 1999 (CC Meeting of 3/3/99) SUBJECT: CONSIDER RESCHEDULING JOINT CITY COUNCIL /PLANNING COMMISSION AND JOINT CITY COUNCIL /PARKS AND RECREATION COMMISSION MEETINGS IN MARCH 1999 AND POSTPONEMENT OF CITIZEN RECOGNITION EVENT BACKGROUND The City Council at its meeting on January 20, 1999, directed staff to schedule a joint City Council /Planning Commission meeting for March 10, 1999 at 7:00 p.m and a City Council /Parks and Recreation Commission meeting for March 31, 1999 at 7 :00 p.m. Mayor Hunter and Councilmember Rodgers will not be able to attend a special meeting on March 10. Staff is suggesting rescheduling the City Council /Parks and Recreation Commission joint meeting to March 24 at 7:00 p.m and the City Council /Planning Commission joint meeting to March 31, 1999 at 7:00 p.m. DISCUSSION The reason staff is suggesting the switching of the date for the joint meeting with the Parks and Recreation Commission, is that the Planning Commissioners' Institute begins on March 24; therefore, that date is not available for a joint City Council/ Planning Commission meeting. Staff has discussed the meeting schedule change with the various Commissioners, and the change in meeting dates is acceptable. Although March 24 had previously been planned as the date for the Citizen Recognition Event, staff and the Citizen Recognition Ad Hoc Committee (Councilmembers Rodgers and Wozniak) are recommending postponement of that event. The reasons for the postponement include the need to reschedule the joint meeting between the City Council and the Planning Commission, the fact that staff has determined that insufficient funds were budgeted to host the Citizen Recognition Event (approximately a $500 shortfall), and that the City Clerk's Department currently has a shortage of staff to adequately plan the event at this time. Staff intends to schedule an Ad Hoc Committee meeting to address the budget for the 000100 Honorable City Council February 25, 1999 Page 2 Citizen Recognition Event as well as to determine a revised date. A letter explaining the postponement will be sent to all individuals that submitted nomination forms for Citizen of the Year, as well as to all organizations and individuals that were previously given notification of the original event date of March 24. STAFF RECONSSNDATION 1. Cancel the special meeting planned for March 10, 1999, schedule the joint City Council /Parks and Recreation Commission meeting on March 24, 1999 at 7:00 p.m., and schedule the joint City Council /Planning Commission meeting for March 31, 1999 at 7:00 p.m.; and 2. Direct staff to meet with the Citizen Recognition Ad Hoc Committee to reschedule the Citizen Recognition Event and develop budget recommendations. DST cAm\staffrpts \cc990303 PC PRC 000101
