SUBJECT: Consider Appropriation of Funds for Plasmon Jukebox for
the Optical Disk Imaging System
The City of Upland has recently increased the size of their optical
disk system by purchasing a 40 gigabyte jukebox and have offered to
sell their used 10 gigabyte jukebox to the City. Although the
jukebox is 5 years old it has been completely rebuilt and should
provide years of service. The costs to purchase the used equipment
and integrate it into our system is $5,800:
10 Gigabyte Plasmon Jukebox (used) $1,800
Cost to integrate into present system $4,000
The City's Optical Disk System is presently configured to have two
single optical drives, only one of which is "on- line" at a time.
We use the additional optical drive to copy from one to the other
in order to make archival disks and as a backup should the on -line
drive fail.
Since 1992 we have filled 2 1/2 optical disks with documents. All
the City Council resolutions, ordinances and minutes created since
incorporation, agenda packets created since 1990, and all recorded
documents are saved on these 2 1/2 optical disks. In addition we
have created optical disks (one each) for Insurance, Finance,
Contracts, Engineering, and Planning. The Plasmon Jukebox will
hold 10 optical disks.
A jukebox is desirable because it allows for several disks to be
on -line simultaneously. With only one optical drive on -line, disks
must be loaded, initialized, ejected and re- loaded several times
during a search because information sought may be stored on several
disks. This situation is slow and frustrating but we have been able
to work with the situation because the Records Clerk sits near the
optical drive. However, with the inception of the central search
station, this problem will become more pronounced. From the remote
site, the Records Clerk will be called several times during a
search to load and re -load disks.
A new jukebox would cost approximately $15,000 plus an additional
amount for integration into our system.
STAFF RECOMMENDATION: ROLL CALL VOTE
Appropriate $6,000 from the General Fund Reserve to 01.4.113.906
for purchase of the Optical Plasmon Jukebox and for integration
services.
