Hare, City January 14, 1993 (CC h/ CO II f " 19q .3 By - 1/20/93) CONSIDER CLASSIFICATION CHANGE FOR CLERICAL AIDE IN CITY CLERK'S OFFICE TO CLERK TYPIST The present Clerical Aide in the City Clerk's Office has worked for the City for 2 1/2 years. The Clerical Aide position is an entry level clerical position, the level at which the City hires High School students to do closely supervised tasks, (mostly copying and mailing). Initially the Clerical Aide in the City Clerk's Office did copying and filing only but the scope of work for the position has evolved to something much more than that over the past 2 1/2 years. The Clerical Aide has become familiar with the use of the following computer software: (1) Word Perfect; (2) Label Maker; (3) Questy's Optical Records Management Program; and (4) Munimetrix (Clerk's Index). Below is a listing of the Clerical Aide's responsibilities: 1. Switchboard relief. 2. Scanning and indexing into the Optical System. (This requires manipulation of the computer program and typing skill.) 3. Copying the agenda packet. 4. Filing. 5. Typing labels for new files and replacing old labels with new ones. (This requires the manipulation of the computer label program and typing skill.) 6. Computer search of the File Guide. 7. Computer search of the Clerk's Index for information related to Council actions. 8. Typing of memos and notices. (In the absence of the Deputy City Clerk, the Clerical Aide provides this assistance.) 9. Completion of form letters using the merge function. PAUL W. LAWRASON JR. With the resignation of the Records Clerk, there will be a salary savings of approximately $1,300 this fiscal year. The classification change will be funded from the salary savings requiring no new budget appropriation for FY92/93.
