Reynolds Jr., Administrative Services Manager/ DATE: April 29, 1994 SUBJECT: Consider Closing City Hal 1 for Three Hours on Friday, May 20, 1994 The following report requests that the City Council authorize staff to close City Hall offices for three hours on Friday May 20, 1994, for the purpose of allowing staff t . thoroughly clean the facility. Discussion In the past, the Council has authorized the closure of City Hall for unique holiday "days ", and as approved by the Council on September 7, 1988, for the move from the Community Center to the new City Hall building. Last year, the Council approved the closure of the facility on Good Friday, April 9, 1994, for the purpose of allowing staff to clear their offices. Routine janitorial services are provided during each week, and two years ago, the City had the carpets cleaned. Except for these efforts, the building does not receive a thorough cleaning. Safety inspections, collection of surplus equipment, and efforts to reconfigure office space for additional staff and the general cleanliness of the building indicate that a thorough cleaning is overdue. Fridays are typically the slowest day of the week at City Hall, and are therefore, the best day to close for the cleaning effort. Staff is requesting that the building be closed at 2:00 P.M. on Friday, May 20. The phones will be left open to serve the public. This time will allow for the majority of staff to clean their offices and better organize work spaces. The open phone lines will allow staff to respond to any important matters that arise during the afternoon, while giving their offices a thorough cleaning that is needed. As in the past, '-he closure will be appropriately publicized. Recommendation That the City Council authorize the closing of the City Hall building at 2:00 P.M. on Friday, May 20, 1994, for the cleaning of the facility, and that the phone 1 nes be left open to the PO4krw,,_
