SUBJECT: CONSIDER APPROVAL AND APPROPRIATION FOR EXTENSION
OF HOURS FOR SUMMER YOUTH WORKER IN THE CITY
CLERK'S OFFICE
The Clerk /Typist and Records Clerk have been responsible for
scanning documents into the optical imaging system and have been
able to "keep up" with scanning all newly created permanent
documents, e.g. current resolutions, ordinances, minutes and agenda
reports.
There are thousands of pages of older documents still. needing
indexing and scanning into the optical system -- Community
Development case files, City Engineering files (Willdan) , deeds and
easements, completed contracts and financial records.
With the aid of a summer youth worker, we have been able to scan
the backlog of resolutions (502) and three years of agenda reports.
We are requesting an appropriation of funds to continue to use the
Summer Youth Worker 10 hours per week for the balance of the
1994/95 fiscal year to continue scanning documents. This job is a
great opportunity for a youth in the community to gain experience
in the work place.
The budgetary impact this fiscal year would be $2,040 for 340
hours, $1,020 to be appropriated from the General Fund which will
cover the Community Development Department prorata portion and
$1,020 from the Gas Tax Reserve. The position would be paid at the
clerical aide entry level hourly rate of $5.42 ($6.00 including
benefits). The General Fund Reserve is currently $3,724,453 and
the Gas Tax Fund Reserve is currently $1,691,019.
RECOMMENDATION ROLL CALL VOTE
Approve an appropriation of $2,040, ($1,020 from the General Fund
Reserve and $1,020 from the Gas Tax Reserve) , to Line Item 113.503
to fund a temporary clerical aide position in the City Clerk's
Office.
