Attached is a letter from Mr. David Nankivell, representative of
Stage Right Players, a non-profit theatre group in Simi Valley.
Mr. Nankivell had approached City staff several months ago about
staging one performance of "Our Town" their current production, in
the Apricot Room as a benefit performance for the Senior Center.
According to Mr. Nankivell's letter, circumstances have left the
acting troupe without a location to stage their play for its
entire run during three weekends in February and March. Mr.
Nankivell is requesting a change in the regular fee schedule for
the use of the Apricot Room Friday evenings, Saturdays and
Sundays, from February 24 - March 12. There would be a total of
15 performances during that time.
In a phone conversation with Mr. Nankivell, he stated that he felt
that the parking lot at the Community Center would adequately
accommodate parking for their anticipated attendance. Most of the
attendance consists of other senior centers, who usually arrive in
buses.
Stage Right Players is requesting that instead of the standard
fees, that the group be allowed to use a percentage of the ticket
sales (40%) go toward rental of the facility, with 60% of the
ticket sales to be used to pay the group's expenses. Stage Right
Players are proposing that additional revenue would be set as a
donation to the Senior Center. The first performance on Friday,
February 24 would be a full benefit performance for the Senior
Center.
Since the Lutheran Church moved into their own location back in
January, 1994, on -going rentals of the Apricot and Citrus rooms
have been very low, and this period of time during the year does
not tend to have many weekend rentals of the Community Center.
The set up for the performances is a basic theatre style seating
arrangement and can be set up on Friday by the full time
maintenance staff, at a total cost of $75.00 ($25 each week), or

Dy part time staff at a total cost of $45.00 ($15 each week). The
Neekend maintenance worker can make sure that the Apricot Room is
.unlocked for the matinee performances, but there will be the cost
Df bringing in extra staff for facility monitoring on Friday,
Saturday and Sunday evenings.
The standard rental fee for user groups who qualify for Group I
(non-profit status) is $35 per hour for groups under 200 people.
The total number of hours requested by Stage Right Players is 75
hours, for a total rental fee of $2625.00. Should the group
desire to use the Citrus Room for an actor's dressing room, there
would be an additional use fee of $1875 ($25 / hr. x 75 hours).
By using the $25.00 per hour direct cost figure that is used in
the facility rental schedule, the minimum cost to the Stage Right
Players for those hours requiring additional staff, not already
scheduled for that time, would be $1,200.00 (48 hours x $25 /hr.).
If the City Council desires to consider a lower rental fee, it may
want to stipulate that a minimum of $1,200 be provided to the City
for these performances. The standard $300 security / cleaning
deposit should be required in either case. Staff would recommend
that additional funds up to the total rental fee ($2,625 or $4,500
depending on room usage), be used to cover all facility fees. As
the City Council is aware, the hourly fee is intended to cover
actual City costs related to facility use. Any money exceeding
that amount could go to the Senior Center as a donation by the
Stage Right Players.
Upon approval of this request, Stage Right Players will be
acquiring, at their own cost, tenant user lease insurance through
Gulf Insurance Company, coordinated by the City.
It should be noted that Stage Right Players constructed a stage
extension to be used with the stage in the Apricot Room, and which
can be used by the City for future activities, should the
extension lend itself to the particular activity. Staff is
determining the liability of this stage extension and may need to
recommend to Stage Right Players not to use this extension for
their performances, if the construction and engineering of said
extension is not determined to be safe by the Risk Manager.
RECOMMENDATION
Direct staff as deemed appropriate.

Subject: Use contract, and waver of fees for the Apricot
Room in the Civic Center Complex
Dear Ms. Adams,
Thank you so much for all that you have done for us. The
following is as per your request to explain the above.
Stage Right Players, an acting company, for the most part
is comprised of a cross section of generations of talented
individuals. We plan to stage the production "Our Town", a
Thornton ?gilder Pulitzer Prize winning play.
Ms. Adams, back in November, we planned to do one perform-
mance in the Apricot room, at the end of a run of 16 shows in
Simi Valley. We had earmarked that performance as a single
fund raiser for the Senior Center in Moorpark.
At that time, I decided to have a special stage built to
enhance the Moorpark performance. The stage, an extension, was
to create a three dimensional concept for the show. This 8ft
x 8ft protrusion would allow us to seat the audience in an arc
about the stage, a concept never performed before. The stage
was built by Mr. Ray Beaulieu, and all costs were paid by our
acting company. It is now part of the permanent equipment for
the present stage. It is mobile, and can be set in place with
little difficulty.
Ms. Adams, circumstances beyond our control caused us to
be unable to perform the show run in Simi Valley. In the
meantime our acting troop had been in rehearsal for the past
five weeks. In a production meeting our team opted to place
the Moorpark benefit show up front, and determine if we could
contract to perform the three week run at the Apricot room site.

Counting the first show, the run would be comprised of
three weekends of five shows each. We would ask that fees
(except for clean up) be waived so that we could spend on
advertising dollars to bring in the audiences.
Each performance (except the first which is a full benefit
show), would be structured to allot 40% before deductions from
the actual ticket sales for the shows, back to your adminis-
tration for costs for rental, with any additional revenue set
aside for The Senior Center fund.
The remaining 60% would return to our group to cover costs
of performance for such things as, costume upkeep, prop repair,
transportation, advertising, printing, etc. We would schedule
two matinees to be held on the weekends, and three evening
performances to run from Friday until Sunday night.
Ms. Adams, we have a Senior audience following for our
performances that extend from Northridge all the way to Ventura.
It has taken us awhile to get underway, but we now have our
twenty four actors in place, fully costumed and raring to go!
There will be few occasions required for rehearsal for
the play. The following dates and times have been checked for

My personal thanks to each of you for your consideration
of our program. we hope to bring quality theatre to your
wonderful complex. In the month of February, I will begin
teaching the new drama class right there at the Center on
Thursdays. My association with Carol Ghens over the past two
years has been remarkable and has helped me glean many stories
for my newspaper column with the Star Enterprise. If I can
